Position Description: Records Management Officer

About the Role:
- Manage and maintain Council’s Electronic Document and Records Management System (EDRMS), including security and control of legal documents when required
- Maintain Council’s document control systems and train staff as required
- Ensure staff are trained in quality record keeping and understand their obligations in accordance with Council Policy
- Meet the needs of users by providing timely, accurate and relevant customer service to all internal staff and customers external to Council, who require access to Council records
- Support Council’s obligations under the Government Information (Public Access) Act 2009 in conjunction with the Governance Team, and support informal requests for information with officers across multiple units
- Undertake the daily mail activities of the records section including scanning, registration and distribution of incoming and outgoing mail.
- Ensure organisational compliance with State Records Act
- Maintain Council’s Legal Documents Register and ensure safe custody of documents at all times
- Monitor the EDRMS to ensure policy and procedure are followed by other users
- Undertake continuous improvement activities that provide productivity and quality gains
- Contribute to the performance of Council: demonstrate professional conduct, make the best use of knowledge, experience and skills and be accountable for own decisions and actions
- Contribute to a safe workplace: comply with legislative and organisational requirements and be accountable for own decisions and actions
About You:
To be successful in this role you will have:
- Certificate IV qualification in business administration or a related discipline; or contemporary experience in a similar role
- Proven attention to detail and a high level of accuracy and thoroughness
- Demonstrated commitment to a customer service culture and delivery of quality service
- Sufficient experience in document administration and management to enable understanding of record classification principles, scheduling and record security
- Proven ability to take initiative, solve problems, meet deadlines, work without close supervision and manage a diverse workload.
- High-level verbal communication and written skills including accurate data entry and document formatting
- Proven ability and commitment to maintain privacy and confidentiality at all times
- Proven ability to develop and maintain internal and external stakeholder relationships to achieve outcomes that contribute to the achievement of the organisation’s strategic goals
- Current Class C Drivers Licence
Desirable criteria:
- Experience in Local Government or other public sector agency
- Experience working with electronic document management systems
- Knowledge of the NSW State Records Act & GIPA
